Terms And Conditions For Air India Group Booking


APPLICABILITY

The said Group Norms are applicable for BOTH Ad-Hoc/Series Movements, for itineraries pertaining to ANY Origin and Destination, on Air India OPERATED FLIGHTS. 

  1. Different Domestic (Interior India Points) Permitted as long as the International Segments/Flights/Bookings are Common. 
  2. For MICE Movement, different Outbound/Inbound Segments (for both Domestic and International) are permitted, as long as the Point of Turnaround is COMMON. 
  3. The said Group Norms/Fares are eligible for Area of Sale (AOS) WORLDWIDE. 
  4. The GIT Fares are NOT APPLICABLE FOR FIT/Individual Travel.
  5. FIT Travel is ONLY ALLOWED on Published System Fares. 
  6. To avail the said Group Fares/Norms, the Passengers must be booked as a Group PNR, and NOT as Individual PNRs.
  7. (The exception being MICE Movements wherein the PNRs would invariably be different, with a common Point of Turnaround). 
  8. Confirmed Bookings are allowed ONLY for Auto Quoted Fares.  
  9. For a Negotiation being opened, the Group Requests to be sent to Inventory Team, for Confirmed Allocation based on the respective Flight Profiles. 
  10. The Group Fares would be QUOTED, and are eligible for being AUTOPRICED ONLY till D – 363 Days to Departure. 

ELIGIBILITY 

  •  The Groups are permitted for BOTH Economy and Business Class.
  • However, NO Mixed Cabin Itineraries are permitted. 
  • For the Group to be eligible, the Minimum and maximum Group Size to be 10 passengers per departure and 100 passengers per departure RESPECTIVELY.  
  • Any Reduction in the Group Size (making is less than 10 per departure) would make it INELIGIBLE for Group Fares/Norms, and thus would attract the FIT Fares/Rules (in the corresponding RBDs) for the said Group.  

The DIFFERENTIATED Time Limits, for BOTH IATA and NON - IATA/RETAIL Agencies respectively are as depicted below:

*** In cases where the PNR is Still Un-Ticketed, and the Penalty (for Seat Release) EXCEEDS the Advance Deposit, the Advance Deposit TO BE FORFEITED, and the Remaining Penalty Amount to be COLLECTED BY RAISING COMMENSURATE ADMs.

# In cases where 100% of the Retention is to be FORFEITED, the Unused Taxes can be claimed through AI's Reservation/Booking Offices.

In case the Passenger is Ticketed, the Cancellation Penalty to apply IN ADDITION to the aforesaid respective Penalties

  1. When a No-Show Ticket is presented for cancellation, BOTH No-Show and Cancellation Charges TO APPLY. 
  2. No-Show is when a Passenger/Agent fails to cancel the booking at least 24 Hours before departure of the FLIGHT BEING CANCELLED. 

The CANCELLATION and NO-SHOW Penalties (for various Markets) are as follows:

US/CANADA :- Cancellation Penalty - INR 14000 / No-Show Penalty - INR 17000 

UK/EUROPE/AUSTRALIA :- Cancellation Penalty - INR 10000 / No-Show Penalty - INR 10000 

FAR EAST ASIA/SOUTH EAST ASIA :- Cancellation Penalty - INR 6000 / No-Show Penalty - INR 6000 

GULF/SAARC/DOMESTIC :- Cancellation Penalty - INR 2500 / No-Show Penalty - INR 2500 

  • The Penalty Amounts are common for BOTH the Cabin Classes viz. Economy and Business Class. 
  • Also, the said Amounts are irrespective of the RBD(s) allocated for the Groups (in a particular Cabin Class), and ARE ONLY DIFFERENTIATED BY MARKETS AND (subsequently) CABIN CLASSES.  
  • For Ex - INDIA Itineraries, Applicable GST to be charged in addition to the aforesaid Penalties. 
  • For cases wherein the CUMULATIVE PENALTY is exceeding the Retention viz. 100% of (Basic Fare + YQ + YR), ONLY the Retention is to be FORFEITED.

  • For cases wherein the CUMULATIVE PENALTY is exceeding the Retention viz. 100% of (Basic Fare + YQ + YR), ONLY the Retention is to be FORFEITED.

FREE SEAT RELEASE 

  • The Group Size would be FIRMED UP from the Day of the Advance Deposit (in each of the respective Departure Windows), and the same would be treated as sacrosanct viz. 100% of the Group Size. 
  • Thereafter, the agent can release 20% Seats (of the aforesaid size) per departure FREE OF COST until the Balance Payment is MADE. 
  • For any Seat Released UPTO D - 15 Days, but beyond the 20% Permitted Mandate (making the Materialization less than 80%), it would attract a penalty based on the No. of Days LEFT to Departure, as stated respectively for IATA/Non-IATA/Retail Agencies/ Customers.   
  • Within D - 14 Days, Free Seat Release IS NOT PERMITTED, and it would attract a penalty of 100% of (Basic Fare + YQ + YR) per passenger.   

NAME CORRECTION 

  • In case the Passengers are Ticketed, the Names are eligible for CORRECTION POST TICKETING, as per the DGCA's Approved Guidelines, at NIL Charge. 
  • It may be noted that the aforesaid is ONLY pertaining to Modification in the Existing Name, on account of bona fide ERRORS made at the time of booking, and NOT Complete NAME REPLACEMENT.   

NAME REPLACEMENT 

  • The Names are eligible for COMPLETE REPLACEMENT AFTER TICKETING, subject to a Maximum of 25% (of the Group Size) on PER DEPARTURE BASIS, with a PENALTY of INR 2500 plus the Applicable Cancellation Penalty.
  • Name Replacement beyond 25% of the Group Size (per departure) is NOT AUTO - PERMITTED.
  • The said Name Replacement to be carried out AS A MANUAL PROCESS at Local Air India Booking/Reservation Offices. 
  • (Requests beyond 25% may be directed to Air India Booking/Reservation Offices) 

CHILD/INFANT BOOKINGS

  • Child Fare – NO Discounted GIT Fares permitted for Child Passengers.
  • Adult GIT Fares and Penalties to APPLY. 
  • Infant (occupying a Seat) – To be treated as a Child, and aforesaid Child Fare to apply. 
  • Infant (NOT occupying a Seat) - NO Discounted (or otherwise) GIT Fares permitted for Infant Passengers. Fare to be calculated as 10% of the Published System FIT Basic Fare (plus applicable YQ/Taxes) in the same RBD as that used for the accompanying Adult. NIL Penalties for Infants NOT occupying a Seat.
  • Children would be TREATED as Adults vis-à-vis the MATERIALIZATION CLAUSE.  ONE Child would be counted as ONE Adult viz. it would be counted TO FULFILL THE MINIMUM materialization.  

TICKETING/TRAVEL CONDITIONS

  •  The said Group Fares are applicable on ONLY Air India Operated Flights (on International Segments). NOT valid on AI Code Share Flights.
  •  In regard to the Indian Domestic Sectors (BOTH in Conjunction with International or as a Stand Alone Basis), the said Fares are valid on ONLY AI OPERATED FLIGHTS.
  •  Tickets must be issued on Air India Stock ONLY. 
  •  The Fare Basis applicable would be that of the corresponding Published FIT Fare in the same RBD.
  •  All Applicable Other Taxes/Fees & Charges (as reflecting in the system AT THE TIME OF TICKETING) to apply in addition to the Basic Fare and YQ. 
  •  ENDORSEMENT BOX to reflect either ‘SERIES’ or ‘AD-HOC’ (as applicable) – AND – VALID ON AI ONLY – AND - NON END/NON REF.   
  •  Stopovers at the Intermediate TRANSIT/TRANSFER Points are NOT PERMITTED.

Maximum Stay Validity 

US/CANADA/UK/EUROPE/AUSTRALIA/TLV/NBO – 60 Days

Validity Extension permitted for a further 60 Days (totalling 120 Days) at an additional Fee of INR 10000 per passenger. The same to be reflected in the Endorsement Box.   

South East Asia/Far East Asia/GULF/SAARC – 30 Days

Validity Extension permitted for a further 30 Days (totalling 60 Days) at an additional Fee of INR 5000 per passenger. The same to be reflected in the Endorsement Box.   

The said Extension permitted for a Maximum of 25% of the Group Size per departure. (Requests beyond 25% may be directed to Air India Booking/Reservation Offices)

DEVIATION

The Outbound and Inbound Travel has to be TOGETHER per Group per Departure.

However, an exception of having EITHER (but NOT both) the Outbound or Inbound Travel Separate OR Rerouted is AUTO - PERMITTED for up to a Maximum of 25% of the Group Size per departure. 

Just to reiterate, a passenger can either avail an Outbound Separate/Rerouting or Inbound Separate/Rerouting but NOT BOTH, with the total cumulative passengers (availing the same) to be capped at 25%. 

Outbound/Inbound Travel Separate (Same Sector) – An additional Fee of INR 3000 per passenger to apply, in addition to the DIFFERENCE OF FARE (if applicable) and a Change/Reissue Fee of INR 5000 per passenger (if TICKETED).

Applicable GST to be collected on the aforesaid Deviation Fee and Change Fee.   

Outbound/Inbound Travel Separate (Rerouting) – An additional Fee of INR 3000 per passenger to apply, in addition to the DIFFERENCE OF FARE (if applicable) and a Change/Reissue Fee of INR 5000 per passenger (if TICKETED).

Applicable GST to be collected on the aforesaid Deviation Fee and Change Fee.  

In case the Deviation involves Outbound/Inbound Travel Separate and the Rerouting AT THE SAME TIME, BOTH Travel Separate Charges and Rerouting Charges are applicable viz. INR 3000 + 3000 = INR 6000, in additional to the DIFFERENCE OF FARE (if applicable) and a Change/Reissue Fee of INR 5000 per passenger (if TICKETED).

Applicable GST to be collected on the aforesaid Deviation & Rerouting Fee and Change Fee. 

A Deviation (especially before commencement of the Outbound) beyond 25% of the Group Size per departure is NOT AUTO - PERMITTED. 

In such cases, the Advance Deposit is liable TO BEING FORFEITED, as the said Advance Deposit CANNOT BE ROLLED OVER. If ticketed, the respective Cancellation Penalties (as stated earlier) TO ALSO APPLY. 

The REVSIED Itinerary to be treated as a NEW GROUP REQUEST, with applicable revised Fares and a corresponding Advance Deposit (again).
